How property ownership is recorded

Ownership of real estate is established by a recorded deed. When a property changes hands, the new deed is recorded with the county and the assessor updates the owner on the tax roll. An owner search reads the available records to show who is listed as the owner of an address and since when.

What an owner search may show

Owners are not always individuals. Property can be held by trusts, LLCs, corporations, estates, or public bodies, and the listed name may be the entity rather than the person behind it.

  • Owner names as they appear on the deed or tax roll
  • The mailing address used for tax notices, which can differ from the property
  • The date the current owner acquired the property
  • Earlier owners in the recorded chain

Reasons people look up a property owner

Common reasons include reaching the owner of a vacant or neglected property, contacting a neighbor about a shared fence or tree, researching a home you are interested in, confirming who owns a rental you are considering, or checking that the records for your own home are correct.

Questions

Before you search

Why is the owner’s mailing address different from the property address?
The mailing address is where tax notices are sent. Investors, trusts, and people with second homes often receive mail somewhere else.
What if the owner is an LLC or a trust?
The record will usually show the entity name. State business filings, or the trust documents where they are public, can tell you more about who is behind it.
Is the owner of record always the legal owner?
Usually, but not always. Unrecorded transfers, very recent sales, and probate matters can mean the record lags behind. Confirm with the county recorder or a title professional.
Can I see who owned a property in the past?
Where available, the report includes earlier owners and transfer dates from the recorded deed history.
